Frequently Asked Questions
How do I get to the conference venue?
Car or Train
For anyone driving – you are able to expense fuel if travelling in groups of 3 or more.
If travelling by train, please book the cheapest fare via Your Trip and be sure to add, “Company Conference,” in the Travel Reason box.
If claiming fuel for car sharing, (3 people or more in the car), when you claim for the fuel via Certify you will need to include the receipt and list the names of all those in the car. Note…… you are not claiming mileage, you are claiming fuel.
What if I cannot attend the conference?
This is a mandatory event, so if you cannot attend, please ensure you’ve emailed Suzanne to let her know with an outline of your reasons.
If I am there on Friday for the SLT, BLT or ELT meetings, is overnight accommodation provided?
Yes accommodation will be provided and you do not have to share a room.
What if I want to stay on the Friday night?
Contact Danielle Grubb for Burleigh Court accommodation – our rate is £95 per room. Or feel free to find your own accommodation.
Should I bring anything with me?
Yes – your lanyard (if you have one) and a water bottle.
What if I haven’t registered yet?
Contact the Events Team if you have not registered – click HERE to email them.
If I am on my notice period, do I still attend the conference?
Unfortunately no.
What if I am based in Edinburgh; can I go the night before?
Please contact Laura Busby for accommodation.
If I am staying for the party, when do I find out who I am sharing with?
To be confirmed closer to the time.
Can I use the other facilities at the venue?
If you’re staying overnight, accommodation will be at Burleigh Court Hotel.
You will be able to use the pool or gym and any spa treatments must be booked in advance.

- Buses are available from Loughborough train station to the university and can be booked with your train ticket
- There will be time to change into party attire (should you wish) after the BBQ. Party timings are pretty relaxed!
- If you have any allergies, please ensure you’ve told us on your registration form or notified events@gdg.travel
- There is a Cloakroom at Holywell Park available for you to store personal possessions, although we would suggest your bags etc remain in your car (if applicable) until you check in
- Room keys for those of you staying over will be allocated at morning conference registration
- Parking for conference is at:
Holywell Park Conference Centre, Holywell Way, Loughborough University Science and Enterprise Park, Loughborough, LE11 3GR
- There is a newly planned rail strike on 12th May – if travelling by train on this day, please check if you are affected and replan
If you’re staying at Burleigh Court on the Friday and aren’t part of the days leadership meeting, you can request a seat in the restaurant on check in. You can be seated with all other Gray Dawes employees staying at the venue on the Friday who’ll be eating at 7.30pm.
Parking for Saturday’s conference is at the venue: Holywell Park.
We will be offsetting all staff travel to the Conference with our partner Forest Carbon using the Carbon Calculator.
When submitting your mileage claims, please ensure you enter CONFERENCE as the reason code.
